1. Lead Source
Where a lead came from tells you a lot about them. A lead from a Facebook ad targeting beginners has a very different mindset than someone who found your event through a referral from a past attendee. Segment by source and tailor your messaging accordingly. Referral leads need social proof reinforced. Cold traffic leads need more trust-building. Warm email list leads need urgency more than education.
2. Engagement Level
How a lead interacts with your follow-up reveals their intent. Leads who answer calls, reply to WhatsApp messages, and open every email are highly engaged and close to converting — they need a gentle push and personal attention. Leads who haven't responded to anything after three touchpoints need a different strategy: either a pattern interrupt (unexpected channel, unexpected message type) or acceptance that they're low priority for this event.

What do you know about who they are? For B2B events: company size, industry, role. For consumer events: demographics, lifestyle indicators, pain points revealed in form questions. The more you know, the more you can personalise. A cold-traffic lead who answers the AI call and explicitly confirms they're coming should be moved to a "confirmed and engaged" segment that receives lighter-touch, excitement-building follow-up rather than continued conversion-focused messaging. A previously-confirmed lead who suddenly stops opening emails and doesn't answer a follow-up call should be moved to an "at-risk" segment that triggers additional personal outreach.
This kind of dynamic segmentation, powered by behavioural triggers and automated sequences, is what separates the event businesses operating at the highest level from everyone else.
Don't let the complexity of sophisticated segmentation stop you from starting.
